  DATE & SITE COORDINATION

GOLF ON EARTH will:

  • Secure the date & golf site for the tournament.
  • Act as liaison between the golf course and the client
  • Organize a "walk-thru" of the event at the golf course for the client before the tournament

  EVENT PLANNlNG/TIMELINE

GOLF ON EARTH will work with the client to customize the tournament event with attention to every detail from start to finish.
Golf on Earth
implements an event-day timeline to organize the step-by-step execution of the golf tournament.

  BROCHURE DEVELOPMENT

GOLF ON EARTH will work with the client to design and develop the golf tournament brochure.
Golf on Earth will provide the template for the brochure including the schedule of events, the tournament format, entry form, sponsor opportunities and map to the golf course.

  FORMAT DEVELOPMENT

GOLF ON EARTH will suggest the format of the golf tournament. Golf on Earth's tournaments plays a two-man modified best ball. This format allows every player on each team to contribute to the team score and provides a quick pace of play.

Scorecards and Tees
  TOURNAMENT OPERATIONS

GOLF ON EARTH will supervise the overall planning and event day management of the golf tournament, including:

  • Set up of registration area
  • Complete preparation of scorecards with player's names and handicaps
  • Training and instruction of volunteers for guest arrival and registration procedures
  • Coordination of player golf bag drop off, bag tagging, and staging golf bags on golf carts.
  • Participant arrival, personal welcome by name, parking, and check-in at registration for every player
  • Preparation of a team list, alpha list of players by name, alpha list of players by hole assignment, and a gate list with the names of media and special guests allowed through the front gate.
  • Preparation of the Rules of the Day, Contest Rules, and Information and Guidelines to be placed on every cart
  • Coordinate all details of registration to insure prompt starting time of golf tournament
  • Managing the pace of play on the golf course
  TOURNAMENT REGISTRATION

GOLF ON EARTH has formulated a registration system that is first class and makes every guest feel special from the moment they arrive.

  • All players are welcomed at the front gate
  • Every player is greeted by name when they arrive at the registration area
  • Players bags are taken from their cars, tagged with their names and staged on their golf carts
  • Players are directed to the locker rooms, driving range and putting green, etc.
  • All players are treated like "celebrities"
  CELEBRITY COORDINATION

GOLF ON EARTH will help secure celebrities for the event through its on-going relationships and manage them throughout the tournament.

  • Use its reputation as a premier golf event organizer to invite celebrities to the golf tournament
  • Assign celebrities to sponsor teams
  • Accommodate celebrity arrivals and departures
  • Coordinate all celebrity transportation and itineraries

Golf on Earth cannot guarantee celebrity participation. Golf on Earth will invite celebrities, but confirmations are based on celebrities' schedules.

  VOLUNTEER COORDINATION

GOLF ON EARTH will coordinate volunteers provided by the client's organization. Golf on Earth will make job assignments and train volunteers to register players, give directions, monitor on course contests, etc. The volunteer uniform is a white collared shirt and khaki pants. Volunteers will provide their own uniforms. Golf on Earth will recommend how many volunteers are needed.

  SIGNS AND BANNERS

GOLF ON EARTH and charitable organization will custom design and produce tee signs and banners for the golf tournament. Golf on Earth will collect the company logos from sponsors and work with a sign company to produce all signage. Golf on Earth will arrange for delivery of tee signs and banners and set them up on the golf course and in the clubhouse.

  CONTEST COORDINATION

GOLF ON EARTH will coordinate the pre-planning, set up, monitoring and scoring of on-course contests, including:

  • Closest to the Pin
  • Longest Drive
  • Hole in One
  • Other on-course contests

If applicable, Golf on Earth will work with the auto dealer supplying the hole in one vehicle and arrange for the vehicle to be positioned on the course.

  GIFT BAG COORDINATION

GOLF ON EARTH will work with the client's contacts and with its own contacts and vendors to obtain product for the tournament gift bag. Whenever possible Golf on Earth will use its contacts to find discounted or donated items. Golf on Earth will organize volunteers to stuff and assemble gift bags, transport bags to the golf course, and distribute gift bags to players.

  DINNER AND AWARDS RECEPTION

GOLF ON EARTH will work with the client to plan and execute the details of the dinner and awards reception after golf, including: choosing the menu, estimating the number of guests, scripting the dinner agenda, announcing tournament winners, and awarding trophies and prizes.

  AWARDS & PRIZES

GOLF ON EARTH will procure vendor proposals for tournament awards and prizes, offering the client quality products and competitive prices for their promotional needs. GOLF ON EARTH has many relationships with companies that donate products for gift bags and for team prizing and will work to procure as much as possible for your event

  PUBLIC RELATIONS

GOLF ON EARTH will assist client in golf tournament public relations, including:

  • Approving press releases
  • Coordinating media at the golf course (if applicable)
  • Limiting the media to designated areas at the golf tournament
  SECURITY

If needed, Golf on Earth will arrange with a security agency to provide a security guard at the event to protect gift bags, prizes and other valuables.

  BUDGET MANAGEMENT

GOLF ON EARTH will work with the client to develop a detailed operation budget using our experience and methodology resulting in two key objectives:

  • Controlling operating expenses.
  • Increase revenue.

The budget will be estimated based upon the costs of the golf course and other items. Using donated products and services can minimize expenses.
